SalesPad Smart Printing for Business Central makes printing and emailing routine documents an automatic, no-brainer task.  Instead of needing to comb through and remember all of the exact documents that need to be printed for every special situation, Smart Printing whittles down the options to only those that apply for this specific document, customer, and item list.  Simply set up your business rules for which documents are generated when, and where they should be sent, and make it easy for your people to follow through.

Combine Smart Printing with Mission Control to fully automate printing and emailing in workflow.  No more missing pick instructions or forgotten customer email confirmations - every single order automatically prints the right documents and sends the right emails as it travels through your sales workflow.  No extra clicks needed.  And whether it’s manual or automated, every single Smart Printing action is added to a comprehensive audit log for straightforward accountability and troubleshooting.

What It Looks Like

Printing from a Sales Document

Smart Printing can be triggered manually for any supported sales document directly from the action bar, both from individual document cards and from document list pages.

The Smart Printing actions are found in the document's action bar under Actions → SalesPad Smart Printing → Print/Email.  If you do not see the Actions tab, select More Options (the … at the right of the action bar) to reveal the full set of tabs.

The SalesPad Smart Printing submenu contains two actions:

  • Print/Email - Open the Profile Selection lookup to see all active print profiles that qualify for this document, then select one or more profiles and select OK to run them.

  • Audit Log - Open the Audit Log pre-filtered to entries for this document.

From a document list, click the … button and select the Print/Email action to print or email the document without needing to open it.  If you do not see this action, you can reveal more actions via the Select More option at the bottom.

When you choose to Print/Email, the selected print profile determines what is printed or emailed:

  • If Enable Printing is on and Local Print is on: the report is rendered to PDF and downloaded to your browser.

  • If Enable Printing is on and Local Print is off: a print job is dispatched silently to the configured BC printer.

  • If Enable Emailing is on: the report is rendered, recipients are resolved, and the email is sent.

A log entry is written to the Audit Log for every print and email action, whether it succeeded or failed.  If any errors occur, a message is displayed on the screen.

Automatic Workflow Printing

Mission Control workflow provides a Smart Printing action when the Smart Printing add-on is installed.  This works just like Smart Printing in SalesPad for GP, where printing and emailing can happen automatically as sales documents progress through workflow, no user intervention needed.  

Considerations
  • All eligible print profiles run: every profile that qualifies for the document executes automatically. If none qualify, the action is considered successful and completes silently.

  • Local Print profiles are skipped: Local Print requires a browser session, which isn't available during a workflow submission.

  • Logs are created in two places: each execution is written to both the Smart Printing Audit Log and Mission Control's Activity Log.

  • Failures are isolated: a failure in one profile does not stop others from running and does not fail the workflow action itself.

  • User Email eligibility applies situationally: for Automated Actions, no user identity is passed and any profile with a User Email filter will never qualify. For manual workflow submissions, the submitting user's email in Mission Control is used, which can only match if that person has the same email in both systems. Send to Current User behaves in a similar manner: no address when automated, Mission Control user email when manual.

Auditing

The Audit Log records an entry for every print and email action dispatched by Smart Printing. It can be used to review history and help diagnose failures. Note that the log records if an action was successfully dispatched, but it cannot confirm end-to-end-delivery for the destination printers and email addresses.

  • To review audits for a sales document, load that document and then select Actions → SalesPad Smart Printing → Audit Log.  This will show prints and emails for this document across all applicable print profiles.

  • To review audits for a print profile, load that Print Profile Card and then select the Audit Log action.  This will show prints and emails for this profile across all sales documents.

  • To review audits across all documents and profiles, search for “SalesPad Smart Printing Audit Log” in Business Central.

Audit logs show the most recent activity first, and they cannot be edited or deleted.

Things To Keep In Mind

Smart Printing is not a printer management tool.  It routes to whichever Business Central printers are registered in BC Printer Management. The printer relay — whether Insight Works, 365 Business Print Agent, or any other — creates the BC printers; Smart Printing uses them.

Setup

License Activation

Smart Printing requires a license to operate. After you first install the extension, search for Assisted Setup in Business Central and locate “Set up SalesPad Smart Printing”.

  1. Select Start Setup to open the activation wizard. If your tenant is eligible for a trial, select Begin Trial to start a free 30-day trial.
  2. If your tenant already has a license, select SalesPad License Management to activate.

User Access

Before users can see or use Smart Printing, an administrator must assign each user a Smart Printing Role in Business Central's User Setup page.  Search for User Setup in Business Central

The Smart Printing Role column appears immediately after User ID. Select Edit List to make the column editable, then set the appropriate role for each user:

The SalesPad Smart Printing action group is hidden on all sales documents. The user has no access to any Smart Printing functionality.

User

The SalesPad Smart Printing group is visible on all supported sales documents. The user can trigger Print / Email and view the Audit Log. The user cannot create or edit print profiles.

Admin

Full access. In addition to all User capabilities, the user can open the Print Profiles list and card, create and modify print profiles, and manage Shared Filters.

 

Important Notes

BC SUPER users are always treated as Admin regardless of the role field value.

New users default to None. Smart Printing actions are invisible until a role is explicitly assigned.

Print Profiles

A Print Profile is the central object in Smart Printing. It answers four questions:

  • Which document type does this apply to? — e.g. Sales Order, Sales Invoice, Sales Quote.

  • Does this document qualify? — checked via location, salesperson, user, customer attributes, header attributes, and line attributes.

  • Which report and layout? — the BC report ID and optional custom or modern layout to use when rendering.

  • Where does the output go? — a named BC printer (direct), the browser print dialog (local), an email to derived recipients, or a combination of the above.

The SalesPad Smart Printing Print Profiles list is the starting point for all print profile administration.  Search for SalesPad Smart Printing Print Profiles in Business Central.

  • To create a new print profile, select New Profile in the action bar.  This will open a blank Profile Card.
  • To delete a print profile, select a profile row and use the Delete action in the action bar, or open the Profile Card and use Delete in the Processing section. Deletion will prompt for confirmation.
  • Select any profile to open the Print Profile Card and adjust settings for that print profile.

Print Profile Fields

The General section covers general information for this Print Profile.  The Eligibility section controls when this profile is a candidate for a given document.

The Profile Status must be set to Active for users to see and use that print profile.  All profiles start in Draft status, where only admins can see and test them, so they can be fully validated before they are used.  Profiles can also be set to Inactive to block their use while preserving their configuration and audit log history, and they can be reactivated at any time.

General

Name

Required. A short, descriptive identifier. Shown in the profile list, the Audit Log, and Mission Control workflow configuration. Maximum 100 characters.

Description

Optional. Additional notes for profile maintainers. Only shown in the profile card.

Profile Status

Controls the lifecycle state of this profile. New profiles default to Draft.  Only Active profiles are evaluated for printing.

Sales Document Type

Required. The BC sales document type this profile applies to. Valid values are: Quote, Order, Invoice, and Return Order. Smart Printing only shows and evaluates profiles matching the type of the active document. Changing the document type will clear the chosen reports and layouts for this print profile.

Eligibility

Location Code

The document's location must equal this value. Leave blank to match any location.

Salesperson Code

The document's salesperson must equal this code. Leave blank to match all.

User Email

The BC user who triggers the Print/Email action must have this email address. Leave blank to match all users. Useful for user-specific output routing.

Workflow Queue Name

When set, the document must currently be assigned to this Mission Control workflow queue for the profile to qualify. This field is only visible when the Cavallo Core extension is installed in the environment.

Shared Filter

Reference a Shared Filter defined separately. Its Customer, Sales Header, and Sales Line filters are applied in addition to the per-profile filters below. Shown as the filter's Name when assigned, or <None> when unassigned.

Customer Match Filter

Defines a condition that the document's sell-to customer must satisfy for the profile to be usable.

Sales Header Match Filter

Defines a condition that the document must satisfy for the profile to be usable.

Sales Line Match Filter

Defines a condition that at least one line on the document satisfies this filter to be usable.

Select a filter field to open the BC filter builder. You can add one or more field conditions using BC's standard filter syntax.

The Report section selects what is rendered. The same report and layout are used for both the printed PDF and the email attachment.

Report Name

Required. The Business Central report to render. Select the ... button to open the report lookup. The lookup lists reports from BC Report Selections relevant to the chosen Sales Document Type.

Report Layout

Optional layout override. Select ... to open the layout picker, which shows both Custom Report Layouts and Report Layout List entries for the selected report. Leave blank to use the report's default layout.

Important note: Smart Printing uses BC's built-in Report Selections to populate the report lookup. If a report does not appear in the lookup, verify it is registered in Report Selection - Sales.

The Printing section enables printing and controls which printer is used.

Enable Printing

Toggle on to send the report to a printer when this profile runs. When off, no print job is dispatched regardless of the Printer Destination settings below.

Local Print

This downloads a PDF of the selected report.

Printer Name

The BC printer to use when Local Print is off. A warning appears on the Profile Card if the configured printer no longer exists in BC Printer Management. See Printer setup and management overview.

 

The Email, Email Body, and Email Recipients sections control emailing functionality.

The Email Body section is active only when Enable Emailing is on. It controls the content of the email message body. The main report configured in the Report section is always sent as an attachment; the Email Body Report is rendered separately and embedded as the message body.

The Email Recipients section controls who receives the email. All enabled options are merged into a single To list. At least one recipient source must produce an address for the email to be sent.

Email Account

The BC email account to send the report from. Leave blank to use the default Email Scenario. Select ... to pick any registered account. Use Clear Email Account to revert to the default. See Set up email in Business Central.

Email Body Report

Optional. Select ... to open the report lookup (same list as the main Report Name).

Email Body Layout

The Word (.docx) layout to use when rendering the email body. Only Word layouts appear in the picker — RDLC and Excel layouts cannot be converted to HTML and are excluded. Select ... to open the layout lookup.

Email Recipients

Send to Shipping Address

Adds the Sell-to E-Mail address from the sales document to the recipient list.

Send to Salesperson

Adds the email address from the Salesperson/Purchaser Card referenced by the document's Salesperson Code.

Send to Current User

Adds the email address of the BC user who triggered the Print/Email action.

Recipients from Field

Specifies a field on the Sales Header table that contains one or more email addresses (semicolon-separated). Smart Printing reads these field values at run time and adds all addresses found. Select ... to open the field lookup and select from all applicable Sales Header fields. There are 3 separate fields that can be configured, allowing you to choose up to 3 fields to pull addresses from. Use Clear Recipients From Field to remove.

Additional Recipients

Fixed email addresses that always receive the email on every run of this profile. Multiple addresses may be separated by semicolons (e.g. [email protected];[email protected]).

Shared Filters

A Shared Filter is a named set of match criteria — Customer, Sales Header, and Sales Line filters — that can be referenced by multiple profiles. Instead of duplicating the same filter expressions on every profile, you define it once and assign it by name.

From any Profile Card, select Shared Filters in the action bar, or search for “SalesPad Smart Printing Shared Filters”.

Select the New button to create a new shared filter, or select an existing filter from the list to edit it.

Required. The label shown when assigning this filter to a profile's Shared Filter field.

Description

Optional multi-line explanation of what this filter represents.

Customer Match Filter

Defines a condition that the document's sell-to customer must satisfy for the profile using this shared filter.

Sales Header Match Filter

Defines a condition that the document must satisfy for the profile using this shared filter.

Sales Line Match Filter

Defines a condition that at least one line on the document satisfies this filter using this shared filter.

How shared filters interact with profile filters:

A print profile's shared filter criteria are evaluated in addition to any filters defined directly on the print profile. Both must pass. The shared filter's Sales Line filter and the print profile's Sales Line filter are each evaluated independently.

Assigning a shared filter to a print profile: Open the Print Profile Card, select the Shared Filter field (under Eligibility > Match Filters) to open the Shared Filters lookup, and select the filter. Select Clear Shared Filter in the action bar to remove the assignment.

Editing a shared filter: Changes to a shared filter take effect immediately for all print profiles that reference it at the next Print or Email evaluation.

Workflow Automation

In Mission Control, on the workflow configuration page, the Smart Printing action can be configured like any other workflow action.  It can be set up to run whenever a document enters a specific queue, or when a document travels a specific path via an alternate path trigger. Once the workflow is saved and published, the Smart Printing action will run whenever a document meets those conditions.

Examples

Basic Print Configuration

Direct print to a BC printer using Enable Printing and Printer Name.

Profile configuration:

  • Sales Document Type: (any)

  • Report Name: (select report)

  • Enable Printing: On

  • Local Print: Off

  • Printer Name: (select a registered BC printer)

When this profile runs, the report is rendered and dispatched to the configured printer.

Basic Email Configuration

Enable Emailing with a single recipient source.

Profile configuration:

  • Sales Document Type: (any)

  • Report Name: (select report)

  • Enable Printing: Off

  • Enable Emailing: On

  • Email Account: (select the account)

  • Sell-to: On

This profile reads the Sell-to E-Mail value from the Sales Header and sends the email to that address.

Extended Email Configuration

Email Body Report, Recipients from Field, and Additional Recipients — combining multiple recipient sources with a custom HTML message body.

Profile configuration:

  • Sales Document Type: Order

  • Enable Printing: Off

  • Enable Emailing: On

  • Email Account: (select outbound account)

  • Email Body Report: (select a report)

  • Email Body Layout: (select a layout)

  • Salesperson: On

  • Recipients from Field: (select a Sales Order field containing email addresses)

  • Additional Recipients: [email protected]

The report from the Report section is sent as an attachment. The Email Body Report is embedded as the email body. The salesperson's email, any addresses in the selected Document field, and the fixed address all receive an email.

Eligibility: Simple Field Criteria

Location Code and User Email restrict which documents a profile qualifies for. If either is set and does not match, the profile is excluded from the lookup.

Profile configuration:

  • Sales Document Type: Order

  • Location Code: EAST

  • User Email: [email protected]

  • Report Name: (select report)

  • Enable Printing: On

  • Printer Name: (select printer)

This profile only appears in the Profile Selection lookup when John triggers Print on a Sales Order with Location = EAST.

Eligibility: Match Filter

The Customer Match Filter uses the filter builder to gate eligibility on a Customer field value.

Profile configuration:

  • Sales Document Type: Order

  • Customer Match Filter: (Gen. Business Posting Group = DOMESTIC)

  • Report Name: (select report)

  • Enable Printing: On

  • Printer Name: (select printer)

This profile only prints the order when Gen. Business Posting Group is Domestic on the customer.

Eligibility: Shared Filter

A Shared Filter centralizes match criteria that multiple profiles share. Define it once, assign it to any number of profiles.

Shared Filter configuration:

  • Name: Sales Lines - East

  • Sales Line Match Filter: (Location Code = EAST)

Profile configuration:

  • Sales Document Type: Order

  • Shared Filter: Sales Lines - East

  • Report Name: (select report)

  • Enable Printing: On

  • Printer Name: (select printer)

The Shared Filter's criteria are evaluated in addition to any filters defined directly on the profile. The profile will be eligible if any sales line has a Location Code of EAST.

Profile Status: Safe Editing and Retiring Profiles

Profile Status enables lifecycle management without disrupting other running profiles.

Returning an Active profile to Draft to fix a configuration error

An Admin notices that a production profile is routing documents to the wrong printer. They need to correct the configuration without the broken profile continuing to run while they work.

Steps:

  1. Open the Profile Card for the affected profile.

  2. Set Profile Status to Draft and save. The profile immediately stops appearing in the user-facing lookup and Mission Control stops running it.

  3. Correct the configuration — update Printer Name, adjust eligibility filters, etc.

  4. Use Test Print (from the Test Profile action group) against a real document to confirm the fix.

  5. Set Profile Status back to Active. The profile is live again from that moment.

While in Draft the profile is invisible to regular users and is never evaluated — no risk of the bad configuration running.

Retiring a profile that is no longer needed

Rather than deleting a profile — which would remove its Audit Log history and configuration — an Admin can set Profile Status to Inactive. The profile stops running immediately and disappears from all selection lookups, but its full configuration is retained. If the need arises later, switching back to Active re-enables it instantly.

Profile configuration:

  • Open the Profile Card for the profile to retire.

  • Set Profile Status to Inactive.

Mission Control: Workflow Queue Scoping

Workflow Queue Name eligibility restricts a profile to a specific Mission Control queue, which the Smart Printing workflow action can run automatically on submit.

Profile configuration:

  • Sales Document Type: Order

  • Workflow Queue Name: (select the target queue)

  • Report Name: (select report)

  • Enable Printing: On

  • Printer Name: (select printer)

When an Order is submitted through the configured queue, Smart Printing runs automatically. The Workflow Queue Name allows you to differentiate between multiple potential print actions, ensuring the correct profile will execute at the correct point in the Workflow.
